Privacy Notice
Sitework Pro-Estimating LLC is the data controller for personal data described in this notice. This notice explains what we collect and how we use, share, retain and protect it.
Effective date: October 5, 2026
1. Personal data we collect
- Account and profile data: name, email address, login credentials, company, role and account settings.
- Demo and support data: contact details, company information, messages, support correspondence and scheduling information.
- Service content: projects, plans, measurements, estimates, cost libraries, proposals, notes, corrections, templates and team activity that you upload or create.
- Usage and device data: feature interactions, audit history, browser and device information, IP address, diagnostics, security events and approximate location derived from IP.
- Subscription data: plan, subscription status, customer and transaction references. Paddle collects and processes payment-card and billing details; we do not need to store full card details.
2. How and why we use data
We use personal data to create and administer accounts; provide takeoff, estimating and collaboration features; process demo requests and support; operate subscriptions; secure the service and prevent fraud; troubleshoot and improve performance; communicate service information; and comply with law.
Where applicable, our legal bases are performance of our contract, our legitimate interests in operating and securing the service, compliance with legal obligations, and consent for optional communications or non-essential cookies. You may withdraw consent at any time without affecting prior processing.
3. AI processing
When you use AI features, relevant plan images, text, prompts and project context may be sent to contracted AI service providers to produce the requested result. We limit the information sent to what is needed for the feature. AI output and estimator corrections may be used within your account to provide suggestions and improve your workflow; learned corrections are not silently applied to a new estimate.
4. Sharing and recipients
We share data only as needed with hosting, storage, authentication, email, analytics, support, security and AI-processing providers; Paddle as Merchant of Record for purchases, subscriptions, tax compliance, invoicing and related support; professional advisers such as legal and accounting providers; and authorities or other parties where required by law, necessary to protect rights and safety, or involved in a lawful business transfer.
We do not sell personal data for money. Service providers may process data only under their contracts and our instructions, subject to applicable law.
5. International transfers
Some providers may process data outside your state or country. Where UK or EEA personal data is transferred internationally, we rely on recognized safeguards such as adequacy decisions, Standard Contractual Clauses, or another lawful transfer mechanism.
6. Retention
We retain account and service data while your account is active and for a reasonable period afterward to provide exports, resolve disputes, enforce agreements, maintain security and meet tax, accounting and legal duties. Demo and support records are kept while needed to respond and maintain business records. Security logs and backups are retained for limited operational cycles. When data is no longer needed, we delete or anonymize it.
7. Security
We use appropriate technical and organizational safeguards, including access controls, encryption in transit, account authentication, restricted administrative access, monitoring and backups. No internet service is completely secure, so you should use a strong unique password and notify us if you suspect unauthorized access.
8. Cookies and local storage
We use essential cookies and browser storage for sign-in, security, session continuity and saved preferences. We may use limited analytics to understand service performance. If non-essential analytics or marketing cookies are introduced, we will provide legally required notice and choices. You can manage cookies through your browser, although disabling essential storage may prevent the service from working.
9. Your rights
Depending on where you live, you may have rights to access, correct, delete, restrict or object to processing; obtain a portable copy; withdraw consent; or appeal a privacy decision. UK and EEA users may complain to their local supervisory authority, and we generally respond to verified requests within one month. Other jurisdictions may provide similar rights and response periods.
To make a request, email estimate@siteworkpro-estimating.com. We may verify your identity before acting. You may also lodge a complaint with the privacy authority where you live.
10. Children and changes
The service is intended for business users and is not directed to children under 13. We do not knowingly collect their personal data. We may update this notice as the service or law changes and will post the revised effective date.
